Plainwise is built for healthcare teams across the sector: GP practices, pharmacies, physiotherapists, dental practices and hospital outpatient clinics. Whether you are a single practice or a multi-location organisation, it scales with the way you work.
Some of them, but not your phone system. Plainwise works alongside your existing telephony, so you keep your own number, lines and provider; there is nothing to rip out or migrate. Where it does consolidate is the patchwork of separate point solutions: callbacks, voicemail transcription, SMS, reporting and AI triage all live in one platform instead of five. Systems we don't touch, like your HIS, Plainwise simply works next to.

Yes. Plainwise scales from a single practice to health centres and organisations with several locations. Calls, callbacks, and reports can be managed per location or centrally, whichever fits the way you work.
Minimal. The portal is simple and clear, and most teams work with it smoothly within a day. We provide a short onboarding and stay available via chat or phone.
Patient experience
Patients call your normal practice number, just like always. Instead of a queue and hold music, they hear a short, friendly greeting and pick a callback time that actually suits them, then hang up. At that chosen time a real person rings back who already knows why they're calling. No waiting on the line, no repeating their story, no redialling a busy number. For many patients, and especially older ones, it simply feels calmer and more personal.
That stops being a problem. A patient leaves their request in their own language, and your team reads it back, typed out, in the language they work in. Plainwise supports 100+ languages; we set up the ones that fit your patient mix. Patients no longer need to bring a family member along to interpret, and nothing gets lost because someone has to manage in Dutch.
No, and this is where it clicks for most teams. The reason for calling is captured once, up front, so when your assistant calls back they already have the full context in front of them. Calls are shorter and calmer, patients feel genuinely heard instead of processed, and your team spends its time on the people who really need it rather than on phone tag.
Always. The menu is short and spoken in plain language, and every patient still gets a real person on the line at the time they chose. Nobody is forced through a robot. And the twenty-minute wait in a queue is gone: in our own conversations with practices, long hold times were by far the biggest frustration, leaving patients irritated and the team apologising before a call even started. Plainwise works alongside your existing phone system, so you keep your own numbers, lines, and provider, and no new hardware is needed. For features like one-click callback we integrate directly with telephony platforms including Xelion, Elevate, Axeos, Voys and Voys Ascend, and for automatic call transcription we partner with Juvoly. Not yet directly, and we're honest about that. Full HIS integration is one of our highest priorities and actively in development. Today Plainwise delivers structured summaries that your assistants review and place in the HIS, and through our partner Red Cactus we can automate steps like opening the right patient card, so there is less manual switching in the meantime.
Most practices are live within days: we configure your practice settings, connect to your existing phone system, and make sure your team can work with it right away. No IT project needed.
Privacy & security
All data is processed and stored within the European Union, on infrastructure that meets NEN 7510 and ISO 27001 requirements. Nothing leaves the continent.
All communication is encrypted end-to-end, both in transit and at rest. Access is role-based, audit-logged, and follows the principle of minimal data processing in line with GDPR requirements.
How and when patients are told they're speaking with an AI assistant is something you set up together with us, tailored to your way of working and the applicable rules. Nothing is recorded or processed without consent.
Yes. You have full control over your data. Deletion requests are processed in accordance with GDPR and our data processing agreement. Retention periods currently follow GDPR; configurable retention to match your practice policy is in development.
No. The AI assistant asks the same kind of intake questions your own assistants ask, follows the ALTIS structure, checks against NHG guidelines, and flags alarm symptoms straight away. Everything lands with your team as a proposal; the AI assistant never diagnoses or prescribes.
Timewise
Timewise automates the manual parts of practice telephony: callbacks, call queues, voicemails, SMS, transcription, and analytics. Patients pick their own callback time, your team works from a structured task board instead of a ringing phone, and every conversation is captured and documented.
Plainwise works with any phone system. For advanced features like one-click callback, there are direct integrations with Xelion, Elevate, Axeos, Voys and Voys Ascend. We don't connect to your HIS directly yet (full integration is a top priority in development), but through our partner Red Cactus we can automate steps like opening the right patient card in your HIS (Medicom, Promedico). During the demo, we'll check your setup.
The Timewise suite covers callbacks, call distribution, voicebox, transcription, SMS, and analytics. Which capabilities sit in the core product and which are add-ons depends on your setup, and pricing varies per configuration. We'll walk through the right fit for your practice during the demo.
Plainwise is ISO-27001 and NEN-7510 compliant and 100% GDPR compliant. Data is encrypted, hosted in the Netherlands, and no patient data is used to train AI models. We sign a Data Processing Agreement with every customer.

Callback scheduling
Patients call your regular practice number, hear a short greeting, pick a timeslot that suits them, and hang up. No waiting on hold. At the scheduled time your team calls them back with full context on the request.
Patients are only offered timeslots over the phone that match the capacity you've configured in the portal: rosters, breaks, and absence. Update the schedule there and the available slots update instantly, so new peaks in workload are prevented without any manual re-planning.
Yes. The task board shows category, urgency, and status. Your team can filter by priority or category and start calls with one click, so the most important requests always surface first.
Mark the task as not answered, add a note, and follow up later. Everything is shared with the team automatically so nothing falls through the cracks. We'll walk through your specific workflow during the demo.
Call distribution
No. Timewise connects to your existing call queues and adds a scheduling layer on top. Queued calls are converted to scheduled callbacks automatically, without changing how your phones work.
The system never schedules more calls than your team can handle. New callers are offered the next available slot, which may be later that day or the following morning, so work pressure stays predictable.
Yes. When a slot opens up, queued calls automatically move forward to fill it. No manual rescheduling, no wasted slots.

Voicebox
Voicebox is available wherever you enable it in your phone system, which can be 24/7 or only for specific flows or hours. It's a layer on top of your existing call handling that adds spoken context in two places. On callback requests, the patient's spoken reason appears as context on the callback task, so your team isn't calling back blind. And as a dedicated message route (for example for repeat prescription requests), where each voicemail becomes a task with transcription and, if needed, translation, ready for your team to pick up.
100+ languages. Voicebox detects the patient's language automatically and delivers the message in your preferred working language, so the team reads everything consistently.

TalkWise
TalkWise turns recordings of phone calls and in-person consults into structured reports. Telephony recordings come in via your phone platform; consults are captured through a desk microphone. The audio is transcribed and a draft report is generated within seconds. Your clinician or assistant reviews the draft, makes a quick edit if needed, and moves on. Documentation time drops from roughly 10 hours per week to around 90 minutes.
Almost any conversation, by phone or in the practice, short or long. Speaker recognition keeps the clinician or assistant and the patient apart, even with multiple speakers or a messy conversation, so the report stays clear and usable.

AgentWise
AgentWise is the digital assistant for your assistants. It picks up the phone 24/7 and takes on the recurring work, such as answering repetitive questions, taking repeat prescriptions, and scheduling callbacks. It can do much more than that: what AgentWise handles is something we set up together with you and expand step by step. Anything that needs human attention, it hands to your team with all the context ready, so your team already knows who's calling and why before they pick up.
